Privacy Policy
Information We Collect
We may collect contact details, academic information, study preferences and documents when you voluntarily provide them.
How We Use Information
To respond to enquiries, provide counselling and application support, communicate with students, and deliver requested services.
Sharing Your Information
Academic Pathfinders may share your personal information with universities, colleges, accommodation providers and other education-related partners where this is necessary to provide the services you request.
Information may include your contact details, educational history, study preferences and application documents. We aim to share only information that is relevant and necessary for the purpose concerned.
Where appropriate, we will explain the proposed sharing to you and obtain your instructions or permission before submitting an application or passing your documents to a partner. Information will be processed and shared on an applicable lawful basis under data protection law.
Universities, accommodation providers and other recipients may process your information under their own privacy policies. We encourage you to review those policies before providing information directly to them.
Documents
Passports, academic records and other sensitive documents should only be collected through a secure, access-controlled system. Do not use the demonstration upload form for real documents until secure storage and appropriate controls are connected.
How Long We Keep Your Information
Academic Pathfinders keeps personal information only for as long as it is reasonably necessary for the purposes for which it was collected, including providing our services, maintaining appropriate business records and meeting applicable legal obligations.
General enquiries that do not proceed may normally be retained for up to 12 months after the last meaningful contact. Records relating to consultations and prospective students may normally be retained for up to 12 months after the last meaningful contact, subject to the nature of the enquiry and any continuing need to provide services.
For students who proceed with our services, we review records when the service ends and retain only the information needed for legitimate business, legal or regulatory purposes. Copies of passports, academic certificates and other supporting documents should be deleted when they are no longer needed, with a target of doing so within six months after the service ends unless a justified need or applicable requirement calls for longer retention.
Contracts, invoices, accounting records and information relating to complaints or legal claims may be retained for longer where required or justified. We review retained information periodically and securely delete or anonymise it when it is no longer needed.
Your Rights
Subject to applicable law, you may have rights to access, correct, restrict or request deletion of your personal information.
